Why a cycle
We take a disciplined approach to strategy rather than committing resources to whatever feels urgent in the moment. That gives your retention program the best chance of compounding — because we focus on the highest-impact work, sequenced against a clear hierarchy and measured against scenario targets. We call this operating model the Retention Strategy Cycle. It moves through five phases: Ideate, Prioritize, Commit, Implement, and Evaluate — then feeds directly into the next quarter's ideation.
Ideate
We don't chase the first idea that sounds good. We pool initiatives from four deliberate sources — then stress-test what deserves a place on the roadmap.
Our extensive monthly metrics and initiative-level reporting give us a rigorous base for data-driven ideas — what actually moved revenue, engagement, and list health.
Engagements typically start with our comprehensive Find & Fix checklist to shore up blind spots and ensure foundations are solid before advanced strategy. It usually surfaces a strong set of fixes and opportunities.
You know your customers, products, and market. We work with you to get your ideas onto the map — leadership insight belongs in the same system as analytics.
Across many accounts we see what works in the wild, plus aggregate benchmarks. That cross-portfolio visibility informs ideas that a single brand might never surface alone.
Prioritize
Before anything hits the roadmap, we score ideas with a weighted calculus: Impact, Probability, and Effort. Top scores must also align with our Retention Marketing Hierarchy — foundational gaps get addressed before advanced plays.
Where it helps, we use predictive scenario planning: comparable metrics from your account and our aggregate data, with explicit assumptions, to back out likely ranges for each initiative. That directly informs the Impact side of IPE — so prioritization is tied to expected economic outcome, not intuition alone.
The outcome
A ranked shortlist of initiatives with transparent scoring — not a crowded wish list.
Only ideas that survive IPE and hierarchy alignment graduate to Commit. Everything else waits — or drops — so your team executes with focus.
Commit
Ideation and prioritization culminate in committing the shortlist of initiatives to a Strategic Roadmap — the document that governs what we tackle and in what sequence. We review program-level metrics monthly; at quarter end we conduct a deeper review of roadmap outcomes — wins, learnings, and what to refine — so the next cycle starts with clarity.
Implement
We map email and SMS campaigns plus automations with your team so full calendars and creative briefs are in place about a month ahead — fewer fire drills, more room to adapt when opportunities appear.
Committed initiatives are tracked with discipline — we coordinate tasks through a structured project workflow so nothing slips between strategy and delivery.
In a crowded inbox, brand matters. Our in-house designers work from your guidelines so email creative matches your identity and performs — not generic templates.
Every send passes a rigorous, client-specific QA protocol. Checklists evolve as your feedback is captured — so repeat mistakes fade and the team spends more time on strategy and analytics, not endless revision loops.
Evaluate
Surface-level revenue and open rates aren't enough. We report deeply: revenue per recipient, subscriber churn and projected lifetime, performance by theme, engagement segments, and cohorts. The narrative in the data tells us which initiatives to maintain, optimize, or retire — and that flows straight into the next Ideate phase.
The north-star we optimize toward is Subscriber List Lifetime Value — the combined economic value of your list over time. Each initiative is also measured against the scenario targets we set at prioritization, so wins are explicit and the next quarter's cycle starts from evidence, not hope.
